We have designed this software so that it’s portable, easy to use and has limitless possibilities in what you can store in the program. You can attach any file or scan in documents and when you are done, you can save all or parts of the information to a memory stick or CD as a read-only file and it can be shared with anyone you choose.

And, it’s all encrypted just like your online banking.

An additional benefit of this software is that you can set up two users. Two full Dovetail programs within the shell of this software. As information is entered, you can determine if you wish to share the information between user accounts.

Before you begin entering your data, here are a few tips you should know.

It is important for the user to keep the data entered into dovetail organizer up to date and current so that your information can be relied upon in an emergency. Down the left hand side of the screen you will see the six colour coded sections of the dovetail organizer. To enter into each section simply click on one of the six icons. At the beginning of each section is a checklist that outlines the information you can scan or attach into the program. Across the top of the screen within each section you will see the particular tabs identifying the specific areas within the overall section. Click on the tabs and you will see the screens that are associated with each heading.

Across the top of the screen is the Menu Bar. Each one of these functions give you the ability to choose how you use the program to its full capacity: Selective Export, Import, Backup, Password, Preferences, Help and Remove Data. This software has been developed for and tested on Windows XP and Windows Vista.

Selective Export

This function gives you the ability to save any parts or all of the Dovetail content to an external memory device such as a memory stick or writable CD. The Dovetail data, along with your attached documents are encrypted and are read-only files.

When you determine the pieces of the dovetail organizer™ information you wish to export to your external memory device, you will be prompted to type the name of the recipient you will be giving this information to along with a password associated with this particular file or export.

Here’s an example of how this feature is used.

Say you want to give sections of this information to your Executor or Power of Attorney for safekeeping. Along with the Personal Data which is automatically included, you choose the Medical and Financial to be exported to an external memory device for your Executor. You will indicate the name of the Recipient and also attach a password to that particular file. When you give this memory key or writable CD to your Executor, you tell them the username and password you have given this file. They will need this in order to open the file and unencrypt the data in the file so that they can view it and print it if they need to. In the event the memory key gets lost or misplaced, no one else can access this information because it’s encrypted data and in order to open the file, you need the username and password. As a tip, for security reasons, don’t mark the username or password on the memory device.

This Selective Export feature also tracks each time you give a Recipient Dovetail information along with the associated password. This file can be viewed from a PC compatible system, anywhere, anytime.

How to do a Selective Export

  1. Click on the Selective Export button and you will be prompted to insert a memory key or a writable CD before continuing with this function. Sometimes these CD-RW disks are not formatted and ready to use. Note: it is very important the disk is formatted properly in order to be used. Please see the section on formatting discs below for instructions on how to do this.
  2. Click OK
  3. If you have not inserted either of the above you will be able to view the next screen, although in order for you to successfully use this feature, you will need to follow the above instructions for an external memory device.
  4. The next screen will ask you to check the sections of Dovetail you wish to export to your external memory device. By clicking on any of the sections you wish to export, all of the information you have entered as well as any of your attached documents will be transferred to your selected external device. By default, “Personal” data is exported with each file and any other section you choose to add.
  5. Insert the name of the person you are giving this file to in the Recipient field. Determine a password you wish to associate with this file. Next, select CD or Memory Key from the list that you wish to save (export) the information to and then click OK. You will now see a screen that confirms this Selective Export data has been successfully exported. Click on OK and you now have your dovetail organizer™ data ready to use and share with anyone, anytime.

Note: You can only save one Selective Export file per memory key or writable CD. If you are giving your information to more than one person, please use a separate memory key or CD for each Recipient.

Using the Dovetail Reader

Once you give the Selective Export information to another person (the “Recipient”), they simply insert the memory key or CD into their computer.

Please note the recipient’s computer needs to be capable of reading the memory key or CD-RW, and for this reason, we suggest the computer is running Windows XP or Windows Vista. The Dovetail Reader software should start automatically. If it does not, the Recipient needs to double click on the DovetailReader.exe file.

Once the Dovetail Reader starts, the Recipient enters the username and password that you created on the Selective Export screen. Information viewed with the Dovetail Reader cannot be edited. It can be printed.

The Dovetail Reader will show the shell of all six sections, however only the selected sections with data and documents will be shown in the Dovetail Reader.

If you cannot open the Dovetail Reader – then double click on the file go_reader and the program will start.

Backup - Import - Remove Data

These three tools have been created to give you the ability to backup (store) your Dovetail information separately on your hard drive outside of the Dovetail program and then later Import (reinstall) the information back in the Dovetail shell for updates and current information. Most users have backup systems to ensure if their hard drive crashes, their programs are backed up externally for recovery. The Remove Data tool is the ultimate way to ensure your data is totally removed from the dovetail organizer program.

Important Note about Backup

The best way to backup is to copy the information onto a CD or memory stick and store it in a safe place. The information you store in dovetail organizer is stored in a file within the dovetail organizer program. Dovetail Backup allows you to specify the location to put the backup file with the default being in the ‘user’/Documents folder.

If you rely on backups of your hard drive to backup your dovetail organizer data, such backups may or may not backup the dovetail organizer data. Some backup utilities or routines only backup data within documents type folders and/or having certain file extensions. dovetail organizer stores its data in a .dvt extension. It is important to ensure that the backup utility or routine is configured to backup the dovetail organizer data. It may be necessary to use the backup function within dovetail organizer to copy the dovetail organizer data to a folder within your Documents folder for some backup utilities or routines to actually back it up.

Note: check your backup utility to determine if it includes .dvt extensions. If not, it is prudent to pursue a backup utility that does.

Import

This function will clear all data currently in the dovetail organizer™ and load data from a backup file created by the backup tool.

Note: the Import function cannot be used with a Selective Export file. It can only be used with the file that was created using the Backup function.

If you click on this icon, you will be warned about the deletion of all current data contained in the dovetail organizer™. You will be asked to confirm if you wish to proceed. The next message will ask you to specify the location of the backup file to import into the dovetail organizer™.

Backup

this function is for data backup purposes and will copy all current dovetail organizer™ data, including text, attached files and scanned images, into a compressed file. You will be prompted to specify the location and name of the output file where you would like to have the information saved. The exported data will be stored in an encrypted format that can only be accessed with the proper password. (This backup copy can be imported back into the dovetail organizer using the Import function.)

Passwords

this function will allow you to change your current password. You will be prompted to specify your current password. If entered correctly, you will be able to enter a new password and will also be given the option to change your security question and answer.

Preferences

This function allows you to:

  1. Adjust the font size used for all text
  2. Specify whether or not the welcome screen should be shown on program start-up
  3. Set up a second user for the program, if one has not been set up on initial installation. Note: once the second user is created, these fields will disappear

Remove Data

This function will empty all of your data currently contained in the dovetail organizer™. You will be given a warning that all data will be deleted and will be asked if you want to proceed. If you choose to delete your data, all of your data will be permanently removed from the program. Please ensure you have backed up your data and secondly, if you want to go to the next step to remove the program file off of your hard drive. Ensure you save the program file to an external memory device or writable CD along with your password and username for future access.

Warning: The only time you would want to use the Remove Data function is after you have exported your files that will backup and secure your data to a separate file. If you have exported and secured your data, removing the contents of the dovetail organizer™ from your computer is the best protection against identity theft. You will be asked by dovetail organizer™ several times to confirm that you really want to delete your data.

To uninstall the program and the related data files and images completely from your hard-drive, the following steps outline the process:

  1. The current version 3.2 must first be uninstalled Hit the “start” button and select Control Panel
  2. Select the “Add or Remove Programs” option
  3. Select “dovetail organizer” and press the “Remove” button The current version will uninstall
  4. Next select the “My Computer
  5. Select “C drive
  6. Select “Program Files”
  7. Within this folder you will see a number of your own programs plus “Dovetail Inc.
  8. Select “Dovetail Inc.
  9. Next you will see dovetail organizer folder
  10. Click on this folder
  11. You will see numerous icons of “dovetail organizer”
  12. You need to remove each one of the icons contained in this folder individually
  13. When you click on each icon (file or image), the control panel on the left will show the function of “Delete this file
  14. Click on “delete

Note: At the time of installation, the user of the program has the option when installing the dovetail organizer to install the folder to the default folder name or to install to a different folder. The above instructions will apply to the default folder as set up with the installation of the dovetail organizer software to go to Program Files/Dovetail Inc./dovetail organizer. The above instructions will clear all of your personal data/images, username, passwords and registration key number.

Setting up dovetail organizer™ so that it works for you!

Choose your font preferences

Click on Preferences on the top menu and choose a small, medium or large font.

Set up program for single user or two users

You can choose to configure dovetail organizer™ for a single user or for two users. You have the option of setting up both users during your initial setup or at a later date. Each user will need to create a username, password, security question and security answer in order to log on separately. To register a second user at a later date, the first user needs to log into the program with their username and password, then go to Preferences and click on Create a Second User. A pop-up screen will prompt you through the setup process.

Enter shared user information with an easy click on the joint box

The dovetail organizer™ can save you time in situations where two users have identical information. In these instances, just click on the “Joint” box located next to the information that you would like to share. This information will now automatically be duplicated to the other user’s dovetail organizer™ program. You can uncheck the joint box at any time. Although two users can share one program, they cannot access the other user’s information without knowledge of the other user’s password. If you would like your second user to be able to access your information, you will need to let them know your password.

Enjoy the automatic save feature

The program automatically saves any information you enter. At the top of each screen you’ll notice a date and time stamp that indicates when this screen was last changed and saved.

Secure your data

The Automatic Save feature ensures that when you exit the dovetail organizer™, all of your information is saved within the program. If you would like to backup your data to a CD or to your hard drive, use the Backup function located on the top menu bar. Your data will then be backed up in an encrypted format that can only be viewed (decrypted) by entering your password.

Passwords and Security

Create primary username and password

When you first log into the program, you will be asked to input a username and password, and to create a security question and answer. Your security question and answer are required in the event you forget your password. Each time you restart the dovetail organizer™ you will be asked to log on and input your username and password. Note: your password must contain a minimum of six (6) characters and must include both letters and numbers.

Create second username and password.

You have the option of creating a second user for the program. The second user must also create a username, password, security question and answer. The purpose of the second user is to take advantage of the two full programs within the dovetail organizer shell. You can add the second user who for example can be your partner, spouse, executor, power of attorney, etc. The second user can use the program totally as an individual database or the second user and you as the primary user can share information back and forth using the joint checkbox function.

Note: If either user determines information (data and/or scanning/attaching documents) is shared by both of you, by clicking on the joint indicator in that particular section, this information will now appear in your other user Dovetail database. This feature allows individuals to determine what information is clearly individual and personal and what information they would like to share with the other user of the program.

To open the second user account after original set-up, use the second username and password.

Create your own security question

dovetail organizer™ lets you determine your own security question. To maximize security, create a security question and answer that would be hard for anyone to guess.

Secure your information

The data you input into the dovetail organizer™ is encrypted at 256 bits, however, to ensure protection and confidentiality of your data we suggest you:

  • Use effective passwords and keep them confidential
  • Backup your data regularly
  • Use the program Toolbar to Import, Backup and Remove Data. This last option gives you the ability to clear all information from the shell of the dovetail organizer™
  • If you wish to avoid the risks of the information being on your hard drive, clear all of the information off of your hard drive and save it to a CD or external memory storage. Instructions on how to clear pages and files completely off your hard drive are in the Remove Data help section
  • Protect your computer against unwanted access by using firewalls and virus protection

How to use Tools within six sections

Adding and Deleting Information

In most sections of the program you will see a button that indicates the option to add an additional field and/or several additional fields. When you click on this button, the information in the original field will be duplicated to allow you to expand each section; for example, an additional child, bank account, medical specialist, etc. You can also delete sections or fields when information is no longer valid.

Joint Indicators

When the option of joining a field or group of fields is available, a “joint” checkbox will indicate this. If there is more than one program user, either user can determine what information is joint, and whether or not it should be share with the other user. When checked, the data you have entered in a particular field or fields will be duplicated in the same section and fields for the second user. When unchecked, the current data will be copied and assigned to each individual user and the data will no longer apply to both users.

Managing the Checklists

Using the checklists will save you time. The beginning of each new section starts with a checklist that identifies the documents and information that you will need in order to complete that section. Before you begin entering data in a new section, take a minute to print off the checklist. Once you have collected the relevant information and documents, return to the program and begin the section.

The scanning button and paperclip button really save you time. Scanning in certain documents or information may eliminate the need to enter any additional data on the relevant screens in that section. The additional benefit of scanning documents or information is that this allows you to have a backup digital copy of those original documents in an accessible, consolidated format. One of the unique features of the dovetail organizer™ is the ability to quickly reference your scanned documents with a thumbnail shot. The paperclip allows you to attach any file listed and as it is attached, it is encrypted the same as the rest of the Dovetail information you have entered.

On every checklist there is the option to scan/attach in whatever documents or information you like. From this list you will see that you can view images. This will give you a thumbnail shot of all your documents you have scanned or attached to each button.

Paperclip

In addition to scanning in documents, you can import existing files that you already have on your hard drive. The paperclip buttons in dovetail organizer™ are similar to the “attach file” button in your email software.

Just click a paperclip icon inside Dovetail under the appropriate category and choose a GIF, JPEG, or PDF file from your hard drive. The file will read, then encrypt and securely save in dovetail organizer’s™ database.

Note: If you have an existing TIFF file, you can convert the file to a GIF by doing the following:

  • open the TIFF file in Windows Picture and Fax Viewer (for most users this is the default, just double-click on the file)
  • click the floppy disk icon at the bottom of the window (Copy To)
  • change the Save As Type box from TIFF to GIF
  • then attach the new GIF file using the paperclip in dovetail organizer™

Note: If you attach a PDF file that has multiple pages, each page will be stored separately in dovetail organizer™ so that they can be viewed one page at a time.

You will be asked if you want to delete the original file from your computer. That way, you can choose to keep only the encrypted version inside dovetail organizer™. To ensure that you don’t accidentally delete a file, Dovetail will ask you to confirm that you really wish to delete the original file.

To view files that you have brought into Dovetail using the paperclip, click on the adjacent Scan button. All of the files you have imported or scanned will appear as small thumbnail images. Select an image and then click the View button to view it.

Printing, Saving and Scanning Information

Download Adobe Reader

In order to use all of the features in the dovetail organizer™ you will require a copy of Adobe Acrobat Reader software. If you do not have this software installed on your computer, go to www.adobereader.com for a free download of the program.

Print a page, section or the complete dovetail organizer™

This function allows the user the option to print the information on the:

  • Current page
  • Current section
  • Entire document

Copies of scanned/attached documents will also be printed when you are printing information from a section or from the entire dovetail organizer™. If you would like to print a scanned/attached document only, go to the tab with the images that you want to print, click the Print button on the bottom of the screen, choose current page (or current section). Check the include image box, and click on print. This brings up Adobe Reader, each image is on a separate file, so from there you can print just the pages you want and you can get just the images you want.

Please note that choosing to print anything in the program will automatically launch Adobe Acrobat Reader and format that section into an Adobe Acrobat file. The user will need to print the information using the Adobe Acrobat print function.

Saving Information

As information is entered into each section of the program, it is automatically encrypted and saved to your hard drive. You also have the option to save it onto an external memory device such as a memory key or CD.

Scan a Document

Access the scanning feature in two ways. Scan buttons appear on many of the screens within the six sections. You can also scan a document or paper information from the button at the bottom of any of the section checklists called Additional Documents.

Never scanned before?

In order to scan a document you must have a scanner and the appropriate software for your computer. To learn more about scanning please visit www.scantips.com.

Scanning is easy

To scan a document, click on the scan button. You will then be linked to your computer scanner. When you click on the scan button, a window will pop up to guide you through the scanning process. The dovetail organizer™ has enough capacity for you to scan in as many documents as you wish depending on how much space you have in your hard drive. Once you have scanned in one or more documents, thumbnail shots of each scanned document will appear on the section checklist. When your information needs to be updated, you can simply delete and scan in the new document.

Enjoy the benefits of scanning

If you choose to scan in some or all of your information into the dovetail organizer™, you will get the full benefit of a completed dovetail organizer™ for all life events that require you to provide copies of legal or personal information.

Storing the dovetail organizer™ information

You have several options for storing your completed dovetail organizer™ information.

To store all of the information, use the Backup feature.

When you use the backup function, you now have an encrypted file sitting in the directory you have chosen. This file can be opened with a password and username. This file can only be opened with the dovetail organizer operating system up and running to receive or import the saved data into the shell of the dovetail organizer. This function is primarily for you, the user to be able to take the program and encrypted file off of your hard drive for security reasons, if you are concerned. And in the future, if you wish to reinstall the program and also import the saved data back into your Dovetail shell, you can do this with your username and password. And you can start the process of updating the information you have.

To give parts of the information to someone else, use the Selective Export feature.

This is the easiest way to share information with others. It is a read me only file and does not require dovetail organizer as the host to open it up. It is encrypted and username and password protected.

You can keep a copy in your safety deposit box along with the username and password, store a copy off site from your residence with someone you trust, give a copy to your executor, power of attorney(s), professional advisor such as lawyer, accountant, or financial advisor.

Regardless of what storage device you choose to backup your dovetail organizer™ information to (your hard drive, in an exported file, or on a CD/memory stick) you will only be able to access it with your username and password. Therefore, it is very important to remember your username and password and to give your username and password to anyone else you permit to access your dovetail organizer™.

Frequently Asked Questions

I forgot my username and password?

In order to ensure this program and the contents are secure, the username and password you set will be the only way to access this information and unencrypt it. When you first log into the program, you will be asked to input a username and password, and to create a security question and answer. Your security question and answer are required in the event you forget your password. Each time you restart the dovetail organizer™ you will be asked to log on and input your username and password. Note: your password must contain a minimum of six (6) characters and must include both letters and numbers.

The username and password are both case sensitive. Try lower case, upper case, combination of upper and lower case. Once you remember your username correctly, you can click on forgot password. This then prompts you with your security question you set and asks for the answer. You then can reset a new password.

As a last resort, you can uninstall the dovetail organizer™ and all of your program files off of your hard drive and then start over with reinstalling the software program. Your files will be lost unless you have an external backup file with your Dovetail data.

I bought a new computer and I would like to reinstall my dovetail organizer™ but my registration key will not work?

Please contact support at dovetail organizer to request a new registration key. You will be asked for confirmation of customer registration information and we will issue you a new registration key.

I am not sure how the second user works?

What is the advantage of taking the documents and files off of my hard drive and storing them in the dovetail organizer™?

Well the main reason, is as your selected documents are attached or scanned into this software, each of the pages within each respective document is encrypted. Secondly, this program gives you the advantage of not only having secured your documents, it also gives you a spot to identify what they are and where they are to access when needed.

What does portable mean?

With the release of version 3.2, we included the feature called “Selective Export”. The beauty of this feature is that you can choose if you want to save all of your completed dovetail organizer data along with scanned/attached images to an external memory device along with a username and password. You can take it on a trip with you in the event you need a backup of your personal information for any reason, you can share parts or all of it with whomever you choose. This is the easiest way to share information with others. It is a read me only file and does not require dovetail organizer™ as the host to open it up. It is encrypted and username and password protected. What has this version 3.2 been tested on?

dovetail organizer™ has been tested on Windows XP and Windows Vista.

How do I format my disks so that I can use the Selective Export Function?

Sometimes these CD-RW disks are not formatted and ready to use. In order for the selective export feature to work well for you, it is very important the disk is formatted properly in order to be used. Please see the section below for instructions on how to do this.

Formatting your CD-RW for first use

Windows Vista

For Windows Vista, click the Windows logo in the lower left hand corner. Choose Computer. Click on your CD-RW or DVD-RW drive. Windows Vista will then display a "Prepare this blank disc" window. If you click "Show formatting options," the "Live File System" option must be selected. Click the Next button to format your CD-RW.

Windows XP with Additional CD Writing Software

For Windows XP, we recommend using software such as InCD or Sonic DLA that allows your computer to treat the CD-RW as though it were a memory key. To use this CD writing software properly, you need to format the CD-RW disc before its first use. To format the CD-RW, use the right mouse button to click the Start button. Choose Explore from the menu. On the left-hand side of the explore window, locate your CD-RW or DVD-RW drive. Use the right mouse button to click on the drive and choose Format from the menu.

Depending on the software you have on your system, you will likely be asked to name the CD and click a button such as Next or Finish. The formatting of the CD-RW will likely take 5 to 15 minutes to complete. Your CD-RW is now ready for use with dovetail organizer™.

After the Selective Export function completes, please do the following to ensure that CD-RW will work properly: Click the right mouse button on the Start button in the bottom left-hand corner of your screen. Choose Explore from the menu. Use the right mouse button to click on your CD-RW or DVD-RW drive. Choose Eject from the menu. The disc will now eject and it is ready to give to someone else.

Windows XP with No CD Writing Software

If you do not have any special CD writing software, dovetail organizer™ may still be able to access your CD-RW. However, you will get a message in a balloon in the lower right hand corner of your screen. The message will say “You have files waiting to be written to the CD.” Click on the balloon and it will bring up a window showing the files. Then, on the left-hand side of the window click “Write these files to CD.” Once the files have been written to the CD, the CD will likely eject and it is now ready to give to someone else.

I have a problem loading the dovetail organizer™. I have a home computer XP and in the installation process when I click on the dovetail organizer™ Icon on my desktop, I get a grey square that pops up stating sJNI exception not enough memory.

On some systems, the normal method of starting dovetail organizer™ cannot be used. There is an alternative means of starting dovetail organizer™ that will work on your system. Please follow the instructions below to create a new icon on your desktop:

  1. In a blank area on your desktop, click the RIGHT mouse button.
  2. Move the mouse down to "New" then over to "Shortcut"
  3. You will then see a "Create Shortcut" window.
  4. In the box "Type the location of the item:" please insert the following (including the quotation marks): "C:\Program Files\Dovetail Inc\Dovetail Organizer\go_dove.bat"

    We recommend that you copy and paste this so that you don't have to type it out yourself. You could highlight the above text with your mouse, right click, choose Copy then go back to the Create Shortcut window, right click in the box, and choose Paste.

  5. Click the "Next" button.
  6. You will then be asked to name the shortcut. You could name it "Dovetail Organizer Startup" for example.
  7. Click the "Finish" button.

From now on, please double-click this new desktop icon to start dovetail organizer™. You will notice that a black window with some text in it will appear then dovetail organizer™ will start a few seconds later. The text window will stay in the background as you use Dovetail. It is nothing to be worried about and can be ignored. It will automatically close when you exit the Dovetail program.

I have given a Dovetail Reader to a friend of mine with a username and password. When she inserts the memory stick in her hard drive, the autostart does not appear and we cannot get the Dovetail Reader to work. Help!

Please note the recipient’s computer needs to be capable of reading the memory key or CD-RW, and for this reason, we suggest the computer is running Windows XP or Windows Vista. The Dovetail Reader software should start automatically. If it does not, the Recipient needs to double click on the DovetailReader.exe file. Once the Dovetail Reader starts, the Recipient enters the username and password that you created on the Selective Export screen. Note: If you cannot open the Dovetail Reader – then double click on the file go_reader and the program will start.

How and what can my friend do to the Dovetail Reader I gave her?

Information viewed with the Dovetail Reader cannot be edited. It can be viewed and printed only. The Dovetail Reader will show the shell of all six sections, however, only the selected sections with data and documents will be shown in the Dovetail Reader that you selected to share with her.

How often should I update my information in the software program?

We strongly suggest you update your information as it changes. This way your information is current and can be relied on should an emergency occur.

How can this software protect me in the event of identity theft?

In each of the six sections, you can input your data relating to passports, birth certificates, SIN card, driver’s license, medical cards, health insurance card, banking cards, credit cards, etc. You also can indicate the phone numbers for credit cards should you need to cancel them in the event of loss or theft. As well, you can scan in copies of each of these cards so that the replacement process is less stressful because you have digital images of each card to prove you had them and also you have photo I.D. which is needed to prove your identity in the replacement process.

I have version 3.1 and would like to have some of the new features you have on version 3.2.

All of our registered version 3.1 users will receive a download link for version 3.2. This download will essentially integrate with your version 3.1 and will give you all of the new features. None of your data will be lost by downloading the new program.

What is the disadvantage of downloading the new link? Will I lose any features I have in version 3.1?

The feature you will lose by downloading version 3.2 is the ability to save to a PDF. We felt this was a feature that did not give the protection to your data that the encryption within the program does. Essentially a PDF is an unprotected document sitting on a hard drive.

I have a problem with the scanning function in the Dovetail software?

The scanner you use needs to be Twain compatible. You may find it easier to use your own software outside of the dovetail organizer™ and then attach the document to the program.
